This full-time nonexempt position (40 hrs./week) supports Suwannee River AHEC’s Meeting and Association Services Department through coordination of membership associations, board and committee operations, conferences, educational events, and member engagement activities. The position works closely with association leadership, partners, vendors, and staff to ensure smooth day to-day operations and successful execution of meetings and events.
Duties and Responsibilities:
Coordinate day-to-day operations for multiple professional membership associations, including administrative support, member engagement, and organizational communications
Support board and committee operations by coordinating meetings, preparing agendas and materials, recording meeting minutes, tracking action items, and assisting with governance and compliance activities, including bylaws, nominations, and board elections
Maintain membership databases, organizational records, and association files
Support member recruitment, retention, outreach, and communications efforts through newsletters, website updates, marketing materials, social media content, and stakeholder engagement
Coordinate conferences, webinars, board meetings, and educational events, including scheduling, registration, logistics, vendor coordination, sponsorship support, speaker management, and post-event follow-up
Manage event registration and continuing education systems, including Wild Apricot, MemberClicks, Cvent, CE Broker, and related platforms
Coordinate speaker communications, including presentation materials, required documentation, and continuing education paperwork
Develop and distribute evaluations, surveys, certificates, and post-event materials using platforms such as Qualtrics and Cvent
Monitor timelines, deliverables, and administrative processes related to association initiatives, conferences, and grant activities
Provide virtual and on-site support for meetings, conferences, and events as needed
Travel may be required with advance notice provided
Assist the Meeting and Association Services Department with additional projects and responsibilities as assigned by the Executive Director
Experience and Skills Required
Associate or bachelor’s degree in nonprofit management, communications, business administration, event management, public health, or a related field
Certified Association Executive (CAE) or Certified Meeting Professional (CMP) certificate preferred
Experience coordinating conferences, meetings, membership associations, nonprofit programs, or professional organizations
Experience supporting boards, committees, or volunteer leadership groups
Experience with event registration platforms, database management systems, and virtual meeting technology
Strong organizational, administrative, and project coordination skills with exceptional attention to detail
Ability to manage multiple projects, priorities, and deadlines in a fast-paced environment
Excellent written, verbal, and interpersonal communication skills
Strong customer service, relationship-building, and stakeholder engagement abilities
Ability to work independently while collaborating effectively within a team environment
Proficiency with Microsoft Office and virtual meeting platforms
Experience with platforms such as CVENT, Qualtrics, Canva, Slack, Monday.com, Adobe Acrobat, or similar systems
Flexible, dependable, adaptable, and self-motivated
Must be tobacco-free for six months before employment and remain tobacco-free throughout employment
