Position Summary
This is a great opportunity for a professional who is passionate about putting on stellar events, as well as contributing to an energetic and collaborative team. The Coordinator of Meetings & Events will support the meetings & events team in planning, coordinating, and executing SNAC International’s meetings, conferences and events. This role requires a detail-oriented and organized individual with excellent communication and customer services skills, and the ability to manage multiple projects simultaneously in a team-based environment.
This is an in-office role. In-office team members are required to be in the office Tuesday-Thursday, with a hybrid (work-from-home) option on Monday and Friday.
Salary Range
$65,000 to $75,000
Role reports to the Director of Industry Affairs who manages the Meetings & Events Department
Key Responsibilities
Assist in the planning and execution of SNAC International’s 8-10 meetings, conferences, and events including its annual convention, educational programs, networking events and webinars ranging from 50-1600 in attendance.
Registration Management: Manage event registration processes, including the creation and maintenance of registration websites and databases. Handle attendee inquiries and provide customer service support related to event registration.
On-site Event Management: Provide on-site support during events, including managing registration desks, coordinating with vendors, and assisting with event setup and breakdown. Ensure smooth execution of events by troubleshooting issues and providing excellent customer service to attendees.
Post-Event Responsibilities: Assist in post-event evaluation and analysis, including the collection and analysis of attendee feedback. Prepare post-event reports and summaries for internal and external stakeholders.
Coordinate Banquet Event Order including food selections, room set ups, AV and program schedule sequence with venue.
Work with vendors and suppliers to ensure all event-related needs are met.
Available to travel to and attend all SNAC events including those in the DC area and those you will need to fly to.
Handle day-to-day administration of events as needed.
Plan and attend pre-show site visits.
Track event budgets and expenses.
Review final event bills, report discrepancies directly to event venue.
Create, edit and approve signage with marketing department. Manage signage department on site and ensure placement is correct for each scheduled event.
Coordinate and purchase sponsorship order needs.
Contract and build mobile app for annual events.
Attend snack industry-related events when needed and business events-related industry events throughout the year.
Provide support to the marketing dept., advocacy dept. and CEO as assigned.
Role functions as the in-office event planner, i.e., a pop-up lunch/meeting is needed.
Required Skills and Qualifications
2-3 years of experience in event planning or event coordination in a corporate environment.
Proven track record of creative, successful events.
Experience working with colleagues in event planning, sales, marketing and communications.
Excellent organizational, communication, written, negotiating, and multitasking skills.
Excellent customer service skills.
Must be willing to travel.
Bachelor’s degree
