Organization Information: The Florida Swimming Pool Association is a trade association for the swimming pool industry with 700+ member companies in 14 active chapters. FSPA provides educational courses for industry professionals, produces an annual industry trade show, and acts as the consumer resource for finding professionals in the swimming pool industry. The association provides government relations representation on behalf of its members to the Florida Building Commission and the Construction Industry Licensing Board as well as other legislative bodies that regulate the swimming pool industry in Florida such as the Department of Health and local building departments.
Job Summary: The Administrative Specialist is responsible for supporting the departmental activity of the FSPA from an administrative perspective. This includes our Membership, Education, and Government Relations departments. In addition, this individual will coordinate the administrative activity of our Florida Swims Foundation which is a 501c3 nonprofit. Primary goals of this position are achieved through efficiency and effectiveness while communicating the mission of FSPA: Advancing Florida’s Swimming Pool Industry. Navigating supporting our team through a holistic perspective of member engagement and volunteer management is key to success in this role.
This individual must also be highly motivated, results-oriented, persistent, and have a positive outlook and a clear focus on superior customer service; possess excellent time management skills; have great attention to detail; credible and comfortable dealing with a broad spectrum of business industries and people. They must enjoy a dynamic work environment and working with a small team.
Essential Duties and Responsibilities:
Membership
Serve as a resource for information to members regarding FSPA benefits, such as our arbitration program, insurance affinity program, continued education, industry discounts etc. Respond in a timely manner to questions and provide assistance to ensure a high level of member satisfaction.
Proactively maintain accurate records of FSPA members in database by continually updating and researching members to find ways to improve their return on investment.
Process membership applications, initial new member communication and preparing new member welcome kits.
Attend and assist with execution and networking at FSPA Events and Programs (before, during and after hours).
Provide support for sales including recording leads, invoicing and providing reports within the membership database software.
Education
Process continued education credits with the state of Florida by submitting data to the Florida Construction Industry Licensing Board
Produce certificates of competition and email and/or mail them to students who have completed FSPA education courses
Print, bind and prepare education materials such as course manuals, syllabus and supporting packets for tradeshow, state office and chapter education courses
Government Relations
General administrative support for GR councils and committees including the Government Relations Committee, Builders Council, Service Council and Commercial Council and others
Scheduling meetings and sending meeting reminders to members
Attending meetings and taking meeting minutes
Florida Swims Foundation
Processing scholarship applications under the guidance of our Office Manager for the scholarship program, sending out awards letters and mailing payments to schools
Support of the Florida Swims Swim Lesson program
Tracking of Florida Swims Swim Lesson program payments
Liasoning between the FSPA, its Chapters and our program partner Every Child a Swimmer
General
Mailer preparation and shipping for marketing, education, membership and any other departmental activities
Administrative support for our Office Manager on the Arbitration Program
Other duties as assigned

Required Competencies and Experience:
Associate’s degree
Two years of experience in a related field
Membership association experience a plus

Proficient in Microsoft Office suite, and in particular Mail Merge
