The Departmental Support Specialist provides administrative support to Accounting, Membership and Meetings and Trade Shows departments. The position reports to the Controller and is strongly focused on providing exceptional office and customer service support.
Primary Responsibilities
Manage mailroom, handling all incoming and outgoing mail as well as ordering and restocking all supplies as needed
Manage shipping for Expo and all other industry trade shows
Field questions and resolve issues from members and exhibitors concerning Expo registrations and booths
Serve as primary beta-tester for Expo registration and housing system
Manage on-site Expo registration
Oversee inventory of technical publications
Assist with maintaining the integrity of the membership database
Assist with annual membership renewal campaign
Respond to member inquiries regarding AMS profile updates, login and other related issues
Handle accounts payable, deposit and collection functions for the finance department
Assist with invoicing, transaction posting, account reconciliations, and monthly financial reporting
Serve as back-up receptionist when needed
Perform other duties as assigned and required for Meetings & Trade Shows, Membership and Accounting departments
Qualifications
High school degree or equivalent experience
Some accounting experience preferred
Excellent verbal communication skills
Excellent customer service skills
Good written communication skills
Strong organizational skills
Ability to multi-task while still exhibiting a high attention to detail
Ability to work as a team as well as individually with minimal supervision
