POSITION SUMMARY
The Opportunity agenda is looking for a well-organized Executive Assistant to provide support for our Chief Operations Officer and Director of Finance. This is a great opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization.
The primary responsibilities of the Executive Assistant are ensuring that the daily operations of the Chief Operations Officer (COO) and Director of Finance are seamless. This includes, but is not limited to, handling confidential information, consulting on administrative issues, interdepartmental coordination, internal/external communications, project coordination, logistics and schedule management, bookkeeping and minor accounting.
This is a hybrid-based role which requires a combination of remote and periodic in-office work in the New York City headquarters office.
ESSENTIAL DUTIES/RESPONSIBILITIES:
Executive Support
- Support the COO in managing email, analyzing and prioritizing items for attention, responding autonomously as appropriate and managing issues
- Work independently, and collaboratively, on special short and long-term projects
- Follow up with leadership, staff and colleagues to ensure deadlines are
- Handle all logistics needed for team meetings
- Draft and file meeting prep documents, agendas, notes, minutes, and follow up
- Manage the calendars of the COO and Director of Setting up and confirming meetings.
- Create and manage travel arrangements for COO and Director of Finance such as booking flights, cars, and hotel reservations.
- Create and maintain filing systems, both electronic and physical
- Assist with maintaining organization’s SharePoint drive (files/folders)
- Collaborate with other Executive Assistants on administrative projects
- Exhibit polite and professional communication via phone, e-mail, and
- Manage incoming mail/packages/deliveries for COO and Director of Finance
- Function as an integral member of, and main point of contact with for,
- Answer telephones, take messages, or transfer calls to appropriate
- Learn to operate new office technologies as they are developed and implemented
Financial Support
- Prepare and organize finance reports as required
- Reconcile COO and Finance Director’s credit card expenses to ensure organizational compliance
- Assist with tracking/monitoring accounts payables/receivables to ensure general ledger’s
- Incumbent will be expected to participate in professional development to stay abreast of best practices in the field

EDUCATION AND EXPERIENCE:
- Minimum of three years related experience is required
- Bachelor’s degree in a related field or equivalent experience preferred
- Demonstrated experience handling confidential information
- Experience in managing multiple levels of detail in logistics, administration and quality control is
- Commitment to the mission, vision and values of The Opportunity Agenda
- Must have proven bookkeeping and light accounting
- Nonprofit experience a plus
- Familiarity with HRIS systems a plus

- Proficiency in various office software and hardware such as HRIS and financial systems, Outlook and Microsoft Office suite, A/V technology, Zoom, etc.
ORGANIZATIONAL RELATIONSHIPS
- Incumbent will have daily interaction with other internal departments and will have occasional interaction with external stakeholders including board members.
PHYSICAL DEMANDS:
- Ability to conduct a full workday at a computer with reasonable accommodations
