The Staff Accountant is responsible for assisting with a variety of Finance Department tasks to ensure excellent, accurate and timely service to all stakeholders of the American Society for Cell Biology. In addition to specific responsibilities articulated below, the Staff Accountant will assist the Director of Finance (DF) and the Sr. Accountant (SA) to ensure the smooth operation of the Finance Department. This position will report to the DF.
Essential Functions
Accounts Receivable (A/R) Duties
- Timely deposit of all funds
- Prepare journal entries to account for all cash receipts (credit card settlements, cash/checks, and wire transfers)
- Download iMIS reports for membership dues, registrations, abstract fees, biotech course fees, MBOC and other streams of revenue
- Prepare invoices and/or receipts for members and/or customers
- Invoicing A/R tracking of organizations ASCB serves as an admin home to.
- Monitor aged A/R schedule monthly and advise DF of items that age beyond 45 days.
- Send A/R statements and make collection calls.
Accounts Payable (A/P) Duties
- Create vouchers in Bill.com
- Ensure all invoices have proper authorization, backup, period and general ledger coding before they are processed through the workflow
- Ensure all vendor information is updated
- Respond to staff inquiries regarding payment updates
- Update all finance forms accordingly (Mileage, per diem allowances, etc)
- Maintain support and back up for Pre-paid journal entries
- CEO expense report for review by ASCB Treasurer
Reconciliations and Month End Duties
- Monthly:
- Staff Credit card reconciliations and ensuring all support is provided
- Reconciliation of Postage account
- Monthly reconciliation of AP and AR subledgers
- Reconcile settlement reports between 3rd party vendors and Intacct balances monthly.
- Annually
- Audit preparation- provide support for select general ledger accounts and assist as needed
- Tax returns- provide support and assist as needed

Qualifications & Education
- Bachelor’s degree in Accounting, Finance, or Business
- One to three years of experience working in an accounting department
- Experience with non-profit membership associations preferred
- Experience with the following or similar software:
- Sage Intacct experience preferred
- iMIS or other association management software
- Microsoft Office Suite- Word and Excel -
- Bill.com experience preferred
