Summary: This individual independently administers a variety of projects and programs that focus on the acquisition, maintenance and validation of surgical skills and expertise. Responsibilities include working with Division of Education leadership and surgeon content experts to develop, implement, and evaluate complex programs, such as the Targeted Training Opportunities for Practicing Surgeons (TTOPS), a new reentry program for practicing surgeons, courses on preceptoring, proctoring and coaching based on defined standards, and projects of various committees, including the new Committee on Acquisition and Maintenance of Surgical Skills and Expertise. Duties also include administrative roles such as independently developing agendas for committee meetings, conference calls, and courses, supporting applications for IRB review, and supporting follow-up tasks based on committee discussions. Additional activities include development and dissemination of promotion materials, screening of sites and applicants, working with sites to administer all on-site details and ensure all program guidelines are followed, and collecting data for program evaluation.
This exempt position will report to the Senior Manager, Innovative Surgical Education and Training in the Division of Education.
Primary Responsibilities:
- This individual independently administers programs focusing on the acquisition, maintenance and validation of surgical skills and expertise, such as the Targeted Training Opportunities for Practicing Surgeons (TTOPS) and the new programs focusing on acquisition, maintenance and validation of surgical skills and expertise. Responsibilities include updating standards, criteria and supporting materials for sites and surgeons, supporting promotional efforts, and working closely with sites and surgeons to ensure smooth implementation and evaluation.
- Duties also include supporting the development, implementation and evaluation of new initiatives, such as a reentry program for practicing surgeons and courses on effective preceptoring, proctoring and coaching based on defined standards to enhance surgical skills and expertise. Activities include working with surgeon experts to complete needs assessments, identify faculty and plan program structure, develop content and materials, conduct pilot tests and incorporate feedback, develop promotional materials, launch and implement programs, and collect evaluation data.
- Responsibilities will include high level administrative support for various committees, such as the Committee on TTOPS and the new Committee on the Acquisition and Maintenance of Surgical Skills and Expertise and other work groups. Duties also include administrative roles such as independently developing agendas for committee meetings, conference calls and courses, supporting applications for IRB review, and supporting follow-up tasks based on committee discussions.
- Other duties may include supporting activities of the section as needed and tasks assigned by section leadership.
Required Education and/or Experience:
- Bachelor’s degree or higher from an accredited college or university is required; majors related to education or healthcare administration are preferred.
- Minimum of 4+ years’ experience in a similar role that includes project coordination and/or training support; some experience in a clinical setting is preferred.
- Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization.
- Must be tech savvy and able to learn new software; advanced computer skills are helpful in Microsoft Office Products (Outlook, Word, Excel and PowerPoint); knowledge of, or ability to learn, authoring systems (such as BaseCamp and SharePoint) and survey platforms (such as Qualtrics).
- Ability to collect, manipulate, summarize, and analyze data using tools like Excel or other databases.
- Strong attention to detail and organizational skills.
- Must be able to multi-task.
- Display high level of energy and thrive in a fast-paced environment.
- Self-motivated and able to work independently and as a member of a team.
- Ability to plan and prioritize workload and meet deadlines.
- Ability to establish strong working relationships with all division teams and management.
- Experience in Associations, healthcare, and/or education desired.
Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Performs work in a normal office environment with long hours in front of the computer.
Other Necessary Requirements: Evening or weekend duties may be required. Moderate travel (i.e., quarterly) for activities such as out of town meetings is required.
