Purpose of Position/Essential Functions
Provides leadership for further development for the Specialty Education & Research Center (SERC) so that it operates as a fully functioning conference center with a surgical training facility. Oversees and manages SERC operations including lab personnel and all internal functions. Secures renters for the facility and oversees all logistics for the SERC events. Facilitated all logistics and communication with potential customers, clients and NASS staff.
Basic Functions and Responsibilities
Oversee the development, scheduling, and execution of courses held at SERC. Work with other staff to coordinate quotes, lab logistics, equipment and on-site course execution.
Develop/review quotes and work with lab staff on lab logistics to ensure accurate pricing.
Oversee procurement and use of all lab equipment, specimens and other resources required to execute courses.
Oversee contracting and logistics of course related activities.
Work with NASS staff (Corporate Relations, Education, and Marketing) to secure equipment, corporate support and donations for Spine Education & Research Center.
Develop, implement and monitor budgets for SERC.
Act as the key implementer of all policies and activities for the Spine Education & Research Center.
Work with appropriate staff to obtain and communicate audio visual needs, lab requirements, facility (registration, shipping, food and beverage) requirements for each course
Recommend and implement policies and plan activities such as OSHA compliance programs, injury policies/report templates, etc.
Develop business plans to acquire new business and donations as well as renew contracts with existing rental customers.
Give client appropriate information regarding SERC: catering/dining, lodging, transportation, directions, lab information, etc.
Maintain relationships with vendors (ie- hotels, restaurants, transportation companies, etc) to ensure client’s receive great service from SERC’s recommended service providers. .
Responsible for communicating all logistics to NASS staff through emails and Event Specification Guide
Communicate course updates with all appropriate staff via weekly meetings.
Maintain SERC course schedule and SERC course spreadsheet with appropriate details and updates on each course to be saved in course folders
Creating invoices, deposits and final invoices working with finance department and AED of Event Services.
Continuously maintain contact with all clients regarding course information, changes and updates
Responsible for replying to course inquiries within 24 hours of contact
Schedule appropriate staffing needs for each course, ensure NASS concierge is available for courses that require staffing, Handle all post-course follow-up
Other Requirements:
Weekend & evening work regularly required, dependent upon SERC course schedule
Highly developed oral, written, and interpersonal communications skills required
Strong sense of commitment and the ability to handle multiple projects with overlapping and simultaneous deadlines efficiently and effectively
Creativity, resourcefulness, and problem-solving skills are a must
Organizational skills required
Computer literacy is essential, (proficiency with Microsoft Office Suites); average to heavy computer usage
Ability to lift boxes weighing up to 20 lbs
Education/Experience Requirements
Bachelor’s degree preferred
3-5 years’ experience direct experience in project management and relationship building
Experience with strategic planning, marketing and budget development/implementation
Skills Preferred
Experience in either hotel/hospitality/meeting planning or in surgical labs
Strong leadership, business, and communication skills
Project management skills
Knowledge of hands on course management and working knowledge of bio-skills lab equipment.
Construction of effective teaching environments
Effective relations with staff, medical device companies, distributors and suppliers
Job Conditions
Majority of time is in-office work. Some remote work is possible depending on scheduled events. As a conference center that caters primarily to physicians labs are often conducted based upon their availability. Regular weekend and night work to manage courses at SERC.
