Represents the Florida Airports Council (FAC) in a professional and enthusiastic manner, provides a high level of customer service to the Association Leadership, staff and members and assists the President/CEO and the Manager of Finance/Administration with various tasks.
The successful candidate must be able to handle many details and challenging situations at once. This position keeps the Council office running while supporting the efforts of the CEO.
Primary Duties and Responsibilities
Assist President/CEO and Finance & Administration Manager
Maintains, manages and coordinates meetings
Assists in organization of day-to-day tasks
Processes membership renewals and assists with billing processes
Membership Management
Responds to questions and concerns from members via phone and email
Collects, maintains, organizes and enters General Membership information into database
Prepares and distributes correspondence, meeting minutes, presentations, memos, spreadsheets and other documents
Prepares materials for Board and Member meetings
Website Management: Maintains, uploads FAC and member information and documents onto the site
Membership Directory
Assists in collecting, organizing, tracking members’ updated information
Corresponds with publisher to ensure quarterly updates are relayed
Proofreads final document to ensure accuracy of the membership directory prior to publication
Education Foundation Management
Collects, maintains, organizes and updates internship, scholarship and student chapter information
Prepares and distributes various correspondence
Office Management
Answers and routes calls, takes accurate and concise messages
Maintains office files (electronic and hard copy)
Tracks inventory and orders office supplies
Responsible for organization of office
Mailings
The Advisor; Membership Directory; Education Foundation correspondence, and other projects
Other duties as assigned
Errands, etc.
Sales/Marketing
Assists with writing, proofreading, and editing newsletter
Assists with presentations, print material, and marketing materials
Assists with event planning for in-person and virtual events
Attends, prepares, and supports FAC events (overnight travel required)
Experience Qualifications
A minimum of five years’ experience in business administration, association management or closely related field is
Experience including work with city/county government, association management, convention or event management, including cooperative work and internship experience may qualify at the discretion of the CEO.
Required Technology Skills
Strong and proven computer and internet research skills, flexibility, excellent interpersonal skills, project coordination experience. Must have extensive experience with the following software’s and communication platforms.
MS Office Suite - Word, Excel, Publisher, Outlook. Experience with Power Point is a Plus.
Adobe Creative Suite - Adobe Acrobat DC – Organizing and editing documents. Experience with Adobe Photoshop, InDesign and Illustrator is a plus
Zoom Video Communication – Experience setting up and conducting meetings, webinars and conferences
Umbraco CMS platform - experience is a plus
Skills Needed
Organizational Ability - Candidate must be able to maintain order and structure, prioritize tasks, meet deadlines, set and complete goals, manage and maintain schedules.
Communication Skills - Uses friendly communication to interact with a wide range of people, frequently exchanging information about the Council's operations. Written and oral communication is critical to this position. Sensitivity to confidential matters is required.
Written Expression - Excellent writing and proofreading skills are required. Candidate will be communicating with members, non-members, governmental leaders, and others.
Time Management - Attention to detail, resourcefulness, accountability, time management skills are required. Office is comprised of a few employees. Candidate must be able to handle multiple tasks and responsibilities at once.
